Job Title: Guest Relation Representative (Receptionist)

Duties and Responsibilities

A Guest Relations Executive is the first employee to greet customers as they arrive. Always be present at the reception desk and must maintain proper decorum at all times. Provide showroom customers with above-and-beyond service to ensure their experience will be worth remembering. Ensure that customers are happy from the moment they step into the showroom until they leave by providing superior customer service. Attend promptly to customers' inquiries and assists them with their needs making client needs a priority. Review the customer list daily and coordinate with Sales Operations to ensure equal distribution of prospective clients. Receipt of showroom supplies from kitchen to stationary, including tracking usage and replenishing stock before it reaches critical levels. Promote and bring to customers’ attention the new offers and campaigns as per instructed by showroom management. Filing all relative documents and keeping an organized record of all showroom receipts, personnel files, warnings and memos etc… Enforcing showroom policy and following the proper escalation matrix when needed.

Acting Deputy Role (as delegated by showroom manager)

Conducting hourly checks on all showroom areas to ensure proper maintenance and cleanliness.
Schedule janitors and servers ensuring proper coverage as per the showroom’s needs.

Appearance and Conduct
The Guest Relations Executive should always be neat in appearance. The Guest Relations Executive should always wear a complete uniform within the standards set forth by the Operations Department. The Guest Relations Executive should show his identification tag so that customers know his/her name. Hair should be always be neat and should have a color that is within guidelines, which means no unnatural hair colors. A female Guest Relations Executive should wear makeup that is not overbearing, keeping the look simple, professional and natural. Earrings on parts of the face other than the ears are not allowed. Guest Relations Executives should make sure their fingernails are clean and should have no visible tattoos. A Guest Relations Executive should not only look clean but also smell pleasant.

Since most of the time the Guest Relations Executives will be conversing with customers, it is important that their breath smells fresh; however, chewing gum is not permissible at work.

Should have Knowledge of office practices and procedures, and business English. Knowledge of phone etiquette techniques, and effective interpersonal skills. Knowledge of the organization and functions of assigned department/bureau. Skill in the operation of a typewriter, personal computer, switchboard and related equipment. Ability to listen and identify customer’s needs. Ability to meet and deal effectively with the public and high level officials. Ability to react quickly in emergency situations.

MINIMUM QUALIFICATION REQUIREMENTS:

High School graduate plus one (l) year experience as a receptionist or telephone console operator; or an equivalent combination of education, training, and experience, presentable & very good English
