Vacation Position : Administration Assistant

Position Objective:

Provide personal administrative support to the President/GM. Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction.
To provide administrative and secretarial support to all Staff members.

Area of Responsibility:

Provides secretarial and administrative support, to include but not limited to: photocopying, typing, faxing, mailing, and filing to InfasMe staff on need basis.
Setup Employees travel arrangements.
Setup accommodation and entertainment arrangements for company visitors.
Maintain GM \ HR calendar.
Schedule appointments, Organize meetings, Maintain appointment diary either manually or electronically
Create, transcribe, and distribute meeting agendas and minutes.
Answer telephone in appropriate manner, screen and direct calls, provide information to callers, take and relay messages
Meet and greet clients and visitors.
Maintain hard copy and electronic filing system.
Research, price, and purchase office furniture and supplies.
Coordinates project-based work.
Develops and Maintains the filing system of all governmental and original confidential documents of the company and updates these documents before their due dates timely.
Handles courier distribution and act as the primary contact person for the courier companies. Conducts periodical check on all office facilities.
Provides proper documentation of office expenditures.

Coordinates HR events activities; recruitment events, training and development programs, and other related special events.
Handles the recruitment cycle of InfasMe, starting from receiving the hiring request form, identifying the right recruitment channel, coordinating for interviews with the relevant department heads, and prepare the candidates list to the HR Manager for final selection decision.
Conducts the required analysis reporting the recruitment system efficiency and submits to HR Manager for review and taking necessary action.
Handles the branches performance appraisal system through consolidating the completed forms, conducts the initial analysis and submits to HR Supervisor to provide recommendation on the overall company performance presentation to the HR & Administration Manager.
Participates in preparing the branch employees training plans in accordance to the outcomes of the yearly Performance Management results and submits to the HR Manager to prepare the yearly training plan.
Searches for medical and/or life insurance providers and submits the preferred list to HR Manager for qualification


Position Requirements:


BA in any discipline.

2+ years of experience.
Strong leadership qualities with good communication and interpersonal skills.
Female is a must.
