Description To provide a full secretarial and clerical support service to the Head of Department and academic staff within the Department. To maintain effective diary management, including the co-ordination of all meetings and appointments and the provision of a schedule of activities and briefings for the HoD. To examine material/correspondence for the HoD and co-ordinate responses; take action on incoming mail as required i.e. priorities, anticipate action required and prepare routine responses. To deal with filing and office systems, manual and electronic. To prepare, copy and distribute documents, papers and correspondence as required. To assist with the organisation, hospitality, secretarial servicing and minuting of Departmental meetings and to prepare reports as required. Update and manage notice boards to ensure current and consistent information is displayed. Record academic staff absence and attendance and report sickness absence to HoD. To assist in Departmental events e.g. enrolment, graduation, open days. To assist and cover for other Departmental Secretaries in case of leave, sickness and other periods of absence.
Qualifications Education: A university degree in a relevant field Previous Experience: At least one years’ experience in a clerical or secretarial job, preferably in the education sector and/or a multinational corporation Experience of using Microsoft Office packages in a professional context

Other Skills Computer and IT Skills: *Moderate to advanced level skills in Microsoft Office packages Advanced levels in use of Internet tools and various browsers General secretarial IT skills Other Skills Required: *Strong communication and interpersonal skills *Experience in dealing with international foreign staff and working within a multicultural environment *Organizational and time management skills: *Ability to work under pressure *Ability to meet strict deadlines Punctual, Flexible and willing to learn new skills.
