RECEPTIONIST & Administrative Support Careers

VACANCY: RECEPTIONIST / Administrative Support – EGYPT

FOR A MULTINATIONAL INSURANCE COMPANY

EXPERIENCE: 3-5 YRS

REQUIREMENTS: EXCELLENT Command Of English, EXCELLENT Presentability , EXCELLENT Computer Skills

PURPOSE : To provide excellent service to members, groups, intermediaries and providers reflecting agreed business service standards for all queries and complaints received by telephone, letter, email or fax. These can come from Bupa International Members, Partners, Group Secretaries and Providers.

ACCOUNTABILITIES AND ACTIVITIES
Receptionist duties:
• Represents Company’s image as the first contact for visitors.
• General reception Duties.
• Answering calls in a professional manner to ensure a high level of customer service at all times.
• Directing callers to appropriate parties and welcoming guests.
• Ensuring that the reception area is kept in a neat and tidy order.
• Sorting and distributing mails and faxes to appropriate departments.
• Review and update the stationary orders.
• Maintaining existing database up to date (office supplies, printers, stationery, members contact, etc).
• Assist walk in members
• Receive contact details for potential members and accordingly send through to the Sales Department.
• Send to members soft copies of requested documents when needed.

Administrative duties:
• Issuing and sending the airway bills for the members’ correspondence daily.
• Investigate or trace airway bills when requested.
• Follow up on all returned documents and call the members or send them emails to get the correct correspondence address and accordingly leave a note on the system for the Service Advisory team to update the new address.
• Responsible for the filling for the SAT with co-ordination with info fort.
• Review pouches received by intermediaries.
• Keeping record for all incoming work flow.
