Description Administrative Assistant, Maintenance Office Schedules appointments, arranges meetings and schedules use of conference room. Maintains and checks records. Monitors all maintenance contracts/agreement. Interacts with other departments, administrative officials and administrative personnel. Follow up all the invoices related to the Maintenance department with the Accounting department. Coordinates collection and preparation of operating reports, such as time-and-attendance records, terminations, new hires, transfers, budget expenditures and statistical records of performance data. Makes decisions within the framework of departmental policies; considerable verbal ability. Analyzes unit operating practices, such as record keeping systems, forms control, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures. Prepares reports including conclusions and recommendations for solution of administrative problems. Assists Director in preparing operational and project budgets for all maintenance work. Coordinates with other divisions of the department in creating a unified public image and the most efficient provision of services. Screens incoming correspondence or calls as requested or required, and refers to appropriate staff. Reads, edits and corrects typed workshops materials. Studies methods of improving work measurements or performance standards.
Qualifications Minimum education requirement: •Bachelor’s degree in a relevant field. •Diploma degree and/or successful completion of training towards licenser/certification in various areas of construction trades and maintenance practices are preferred. Experience: Job related experience with increasing level of responsibility.
